The Sectional Chair is elected at the Sectional Conference
held at some point during the first four months of each calendar
year. The chair's term of office runs from June 1 of the year
of election through May 31 of the following year.
The responsibilities of the Sectional Chair are to:
1. Establish and maintain active relationships with Chapter
Presidents and Advisory Chairs and, as necessary, with other
chapter officers and advisors.
2. Recruit Sectional Staff members as necessary to assist
chapters with their programs.
3. Communicate in writing with Chapter Presidents and Advisory
Chairs and Sectional Staff members at least quarterly during
the school year and to communicate informally with them more
frequently as necessary.
4. Ensure that newsletters containing sectional news and information
are published and distributed to the chapters and Sectional
Staff at least 3 times a year -- in August, January, and April.
5. Maintain records on the health and viability of each chapter
and prospective group and keep the Region IV Director and
National Executive Director informed.
6. Personally visit chapters to the greatest extent possible.
7. Assist new chapters with their formation in every way possible.
8. Encourage the development of Alumni groups.
9. Maintain records of chapter membership reporting to the
National Office.
10. Encourage full participation in Sectional, Regional, and
National conferences, workshops, seminars, and conventions
and attend those events as the representative of Section 74.
11. Ensure that a Sectional Conference occurs at least annually
and work closely with the host chapter in developing the conference
programs.
12. Communicate the concerns of the chapters to the Region
IV Director and the National President.
13. Attend called meetings of the Region IV staff.
14. Perform additional tasks as may be assigned by the Region
IV Director, National President, National Convention, or Sectional
Conference.
15. Serve on all Sectional Committees as an ex-officio member.
Each Sectional Representative is appointed by the Sectional
Chair, with the approval of the chapter(s) involved, and serves
concurrently with the chairman. In most cases, each Sectional
Representative is assigned one chapter.
The responsibilities of each Sectional Representative are
to:
1. Communicate in writing with the Sectional Chair at least
quarterly and to communicate informally with the chair more
frequently as necessary.
2. Make periodic reports to the chapter(s) regarding sectional
activities.
3. Assist the chapter(s) in every way possible.
4. Encourage chapters to take an active role in national,
regional, and sectional affairs.
The Sectional Chair appoints coordinators, as needed,
to perform specific tasks and to work in special program areas.
These coordinators always include a:
1. Service Coordinator -- responsible for assisting Chapters
in developing and maintaining an active, varied service program,
incorporating all of the four main service areas. Examples
of these duties are:
Encourage and assist Chapters with interchapter communication
regarding service projects and ideas.
Provide the August, January, and April newsletters
with articles and information about service within the section.
Establish and maintain an active relationship with
Chapter Service Vice Presidents, acting as a liaison between
Chapter service programs.
Solicit and receive ideas for sectional service projects
and, when possible, lead efforts to produce such projects.
Develop a Sectional Service Inventory to assist Chapters
in furthering their service goals and provide a record of
service for the section.
Cooperate with the host chapter to develop a service
project in conjunction with the Sectional Conference.
Promote National Service Day and prepare a report for
the Sectional Chair and the National Service Chair on the
projects conducted by each Chapter.
Prepare an annual written report for submission at
the Sectional Conference.
Perform additional duties as assigned by the Sectional
Chair.
2. Scouting Coordinator -- is responsible for assisting Chapters
in developing and maintaining a healthy relationship with
all local councils of the Boy Scouts of America. Examples
of duties are:
Service as a liaison between the Section and Florida's
Boy Scout Councils and their executive committees.
Performing additional duties as assigned by the Sectional
Chair.
3. Alumni Coordinator -- is responsible for promoting the
establishment and growth of alumni associations and encouraging
the active Chapters to work with alumni. Examples of these
duties are:
Establish and maintain an active relationship with
Chapter Alumni Secretaries.
Encourage the development of alumni groups.
Assist chapters in establishing regular communication
and other involvement with their alumni.
Provide the August, January, and April newsletters
with news and information about alumni.
